Position Overview

IDRF is seeking a dedicated and detail-oriented Accounts Payable (A/P) Manager to oversee all payment processes for the organization. This individual will be responsible for managing regular charity payments, reviewing and processing International Project payments, and ensuring adherence to IDRF’s financial policies and regulatory requirements. In addition, the A/P Manager will work closely with and provide support to the Finance Director, contributing to the financial efficiency and integrity of the organization.

Essential Duties & Responsibilities

Key Responsibilities

Accounts Payable Management:

  • Oversee and process all regular charity payments, ensuring timely and accurate disbursement.
  • Manage the full accounts payable cycle, including invoice verification, coding, approvals, and reconciliations.
  • Ensure compliance with IDRF’s internal controls, policies, and Canadian regulatory requirements.
  • Prepare payment schedules and manage vendor relationships, ensuring proper communication and issue resolution.

International Project Payments:

  • Review, analyze, and process payments for IDRF’s International Projects in coordination with IDRF’s Program team.
  • Verify accuracy of payment requests, ensuring appropriate documentation and compliance with donor restrictions, project budgets, and International Financial Standards.
  • Monitor exchange rates, international banking fees, and fund transfer methods to optimize cost efficiency.
  • Maintain clear records of all international transactions and prepare monthly and periodic reports for the Finance Director.

Collaboration and Support:

  • Work closely with the Finance Director to develop, implement, and improve financial procedures and reporting systems.
  • Provide regular updates to the Finance Director on accounts payable activities and potential risks.
  • Collaborate with Program staff and International partners to address financial queries and ensure smooth project operations.

Reporting and Documentation:

  • Maintain up-to-date records of accounts payable transactions, ensuring accuracy and completeness.
  • Prepare monthly, quarterly, and annual reports related to accounts payable activities for internal and external stakeholders.
  • Assist in audits by providing necessary documentation and explanations related to payments.

 

Qualifications & Competencies

Qualifications and Skills

Required:

  • Bachelor’s degree in accounting, finance, or a related field.
  • A minimum of 5 years of experience in accounts payable, preferably in a non-profit or charitable organization.
  • Strong understanding of Canadian accounting Standards for not-for-profit organizations (ASNPO).
  • Experience with processing international payments and familiarity with international banking systems.
  • Proficiency in financial software (e.g., QuickBooks, Sage, or equivalent) and Microsoft Office Suite, particularly Excel.
  • Strong analytical and problem-solving skills with acute attention to detail.
  • Excellent organizational skills and the ability to manage multiple priorities in a fast-paced environment.

Preferred:

  • CPA designation or progress toward one is an asset.
  • Knowledge of CRA regulations for Registered Charities in Canada.
  • Experience with donor-funded projects and managing restricted funds.
  • Familiarity with international development projects and associated financial challenges.
